Customize lists and record Notes
The Breakdown, Characters, Elements, Sets, Locations, Cast, Crew, Departments and Positions lists share column controls. Existing Crew department groups and the Department → Position → Crew structure stay in place.
Choose and resize columns
- Select the Columns icon at the far right of the page header. In the Departments tab, choose Departments or Positions in the dialog to configure that list.
- Check or uncheck a column to show or hide it. The record name stays visible.
- Use the up and down controls to change column order. Changes in this dialog save automatically.
- Drag a column heading’s right edge to resize it. You can also focus a resize handle and use the left and right arrow keys. A column you resize keeps that width.
- Select Use automatic widths to return every column to automatic width. Which columns are shown and their order stay as they are.
- Select Reset layout to restore the selected list’s default columns, their order and their widths, including widths for hidden columns.
Columns you haven’t resized fit the space automatically: they get narrower when the window is smaller, when you zoom in the browser, or when a profile panel opens, and wider when there is more room. The Columns dialog shows whether all widths are automatic or some are set by hand.
Your layout belongs to your account, project and list. It follows you to other devices; it does not change a colleague’s layout. Saved changes from another device appear when you return to the window or while the list is open. If saving fails, your draft stays available: choose Retry, or Use saved layout to discard the draft and reload the saved layout.
When the columns can’t fit at a readable width, a horizontal scrollbar appears; scroll to reach the remaining columns. Selection controls and action menus keep their fixed widths. Column heading filters and sorting work independently of whether a column is currently shown.
You can also configure these layouts under Settings → Breakdown → List layouts. Choose a list, adjust its layout and select Save. Changes there remain a draft until you save them.
Add shared Notes
Cast, Crew, Departments, Positions, Sets, Locations and Elements each have an editable Notes field in their Add or Edit form. Notes appear by default as the far-right data column. They are shared project information, visible to people who can view the record; editing requires the same permissions as editing that record.
Notes accept multiple lines and preserve your text. Clearing the field removes the Notes. If someone changes the same Notes while you are editing, your draft stays open. Compare Saved Notes and Draft Notes, then choose Keep draft if you want to retry against the latest saved text. Nothing is overwritten until you save again.
Set Description and Notes are separate fields. Editing either leaves the other unchanged. Character Notes belong to the Character element; Cast Notes belong to the actor. Measurement notes and special requirements keep their separate meanings. The Breakdowns scene table’s Notes column continues to show a scene-note count.
Export the filtered roster
Cast and Crew PDF and Excel exports include the filtered records in the order shown in the list. Collapsing a Crew department changes the display only; its matching members still belong to the export. The report keeps its existing layout and fields. Hiding, reordering or resizing screen columns does not change export fields or add Notes to the report.
